If you run a small business, a surprising share of your week goes on copy-paste work: moving a lead from a form into a spreadsheet, writing the same reply to enquiries, chasing invoices, turning a blog post into social captions.
Zapier connects your apps. ChatGPT writes and thinks. Put them together and you can hand off most of that busywork without writing a line of code.
This guide gives you 10 automations ("Zaps") you can set up today, starting with the ones that save the most time. Each one lists the trigger, the steps and what to watch out for.
What you can (and shouldn't) automate
Good candidates are tasks that are repetitive, follow a pattern, and where a first draft is useful even if a human checks it: data entry, first replies, summaries, reminders and content drafts.
Keep a human in charge of anything involving money decisions, legal or medical advice, refunds or angry customers. Use AI to draft, and a person to approve.
What you need
- Zapier account. The free plan handles simple two-step Zaps. Multi-step Zaps with AI usually need a paid plan. .
- OpenAI account with API access, or use Zapier's built-in AI steps.
- The apps you already use: Gmail or Outlook, Google Sheets, your form tool, your CRM, your invoicing tool.
Prefer lower costs at higher volume? Make.com does the same job and is often cheaper per task.
Zap 1: Reply to every new lead within 2 minutes
Why: the faster you reply, the more likely you win the job. Most small businesses reply hours later.
- Trigger: new form submission (Typeform, Google Forms, WPForms, Jotform).
- Action, ChatGPT: prompt: "You are the friendly assistant for [business]. Write a short reply to this enquiry. Thank them by name, confirm what they asked about, answer only from these facts: [services, prices, availability]. Offer a call using this link: [calendar link]. Under 120 words. Enquiry: {{message}}"
- Action, Gmail: create a draft (not a sent email) addressed to the lead.
- Action, Google Sheets or CRM: add the lead as a new row or contact.
Tip: start with drafts. Once you've checked 20 replies and they're consistently good, switch to sending automatically.
Zap 2: Automatic invoice reminders
- Trigger: schedule, every morning at 9am.
- Action: find invoices that are overdue in your invoicing tool (FreshBooks, QuickBooks, Wave) or a Google Sheet.
- Action, ChatGPT: write a polite reminder that gets firmer by days overdue (3, 7, 14 days).
- Action, Gmail: send, or create a draft for anything over 14 days.
Many invoicing tools include built-in reminders. Use those first and save Zapier for the gaps.
Zap 3: Blog post to social media drafts
- Trigger: new post published in WordPress (or new RSS item).
- Action, ChatGPT: "From this article, write: one X post under 260 characters with a hook, one LinkedIn post of 150 words ending in a question, one Facebook post, and one Pinterest pin title + description including the keyword '{{keyword}}'. Plain language, no hashtags except 2 on LinkedIn."
- Action, Buffer: add each draft to the queue for the right channel.
This one Zap is the engine behind a 30-minute daily content routine.
Zap 4: Summarise long emails into a daily digest
Trigger: new email matching a label (for example, "newsletters" or "suppliers"). Action: ChatGPT summarises it in 3 bullets. Action: append to a Google Doc or send yourself one digest email at 5pm.
Zap 5: Meeting notes to action items
Trigger: new transcript from your AI note taker (Otter, Fireflies, Fathom). Action: ChatGPT extracts decisions, action items and owners. Action: create tasks in Asana, Trello or Notion.
Zap 6: Review replies
Trigger: new Google Business review (via an integration or review tool). Action: ChatGPT drafts a reply that thanks the customer and mentions a specific detail. Action: send the draft to Slack or email for approval. Always approve replies to negative reviews by hand.
Zap 7: Sort and tag support emails
Trigger: new email to your support address. Action: ChatGPT classifies it (billing, question, complaint, sales). Action: apply a Gmail label and, for "sales", create a CRM deal.
Zap 8: New customer onboarding
Trigger: new payment in Stripe or new deal marked "won". Action: send a welcome email, create a project folder in Google Drive from a template, and add the customer to your email list with a "customer" tag.
Zap 9: Weekly business report
Trigger: every Monday. Action: pull last week's numbers from Google Sheets (sales, leads, traffic). Action: ChatGPT writes a 5-line summary with one suggestion. Action: email it to yourself.
Zap 10: Content idea capture
Trigger: you send a voice note or message to a dedicated email address or Slack channel. Action: ChatGPT turns it into a blog title, 5 H2s and a target keyword. Action: add a row to your content calendar.
What does this cost?
A realistic starter setup is Zapier's entry paid plan plus a few dollars a month in AI usage. . If Zap 1 helps you win one extra job a month, it pays for itself many times over. If you're cost-sensitive, start with Zaps 1 and 3 only.
Common mistakes to avoid
- Sending AI replies without checking them first. Run in "draft" mode for two weeks.
- Giving the AI vague prompts. Always include your real facts (prices, hours, policies) in the prompt and tell it to use only those.
- Building 10 Zaps on day one. Build one, let it run for a week, then add the next.
- Forgetting privacy. Don't send sensitive customer data (health, payment details) to AI steps. Check your AI provider's data settings.
- No error alerts. Turn on Zapier's error notifications so a broken Zap doesn't silently lose leads.
Where to start today
If you only do one thing, set up Zap 1 (instant lead replies). It's the one most directly tied to revenue. Then add Zap 3 to keep your social channels running with minimal effort.

FAQ
Can ChatGPT automate my business on its own?
Not by itself. ChatGPT writes and analyses. A tool like Zapier or Make connects it to your email, forms and apps so tasks run automatically.
Is Zapier free?
Zapier has a free plan for simple two-step automations. Multi-step Zaps and higher task volumes need a paid plan.
Is Make cheaper than Zapier?
Often, yes, especially at higher volumes, because Make prices by operations and includes more on lower tiers. It has a slightly steeper learning curve.
Is it safe to use AI with customer data?
Use it for non-sensitive information, keep a human approving anything customer-facing at first, and review the data and privacy settings of each tool.
What's the first automation a small business should build?
An instant reply to new leads. It saves time and directly increases the number of enquiries you convert.
