Notion for Small Business: Run Your Whole Company in One Workspace

Most small businesses run on a mix of a notes app, a to-do app, a spreadsheet of customers, a shared drive full of "final_v3" documents and a lot of memory. Notion can replace most of that with one connected workspace.

This guide shows the exact setup: five databases that cover clients, projects, tasks, content and how-to knowledge, plus how to use Notion AI and whether you need a paid plan.

Why Notion works for small businesses

  • Everything connected. A client links to their projects, which link to their tasks and documents.
  • Flexible. Build exactly what your business needs; no paying for features you don't use.
  • Shareable. Give a contractor or new hire access to just the pages they need.
  • Affordable. The free plan is enough for a solo owner.

When Notion is not the right tool: if you need invoicing, accounting, email marketing or a full sales CRM with automated follow-ups, use a dedicated tool and link to it from Notion. Notion is your company's brain, not its cash register.

The core setup: 5 databases

A Notion "database" is a table you can view as a list, board, calendar or gallery. Create these five on a single page called HQ.

1. Clients (a simple CRM)

Properties: Name, Company, Email, Phone, Status (Lead / Active / Past), Source, Lifetime value, Next follow-up date, Notes.

Views: a Board grouped by Status (your pipeline), and a list filtered to "Next follow-up is today or earlier".

For heavy sales, a dedicated free CRM is better (see our best free CRM guide). For a service business with a few dozen clients, Notion is plenty.

2. Projects

Properties: Project name, Client (relation to Clients), Status, Start date, Due date, Budget, Owner.

Views: Board by Status; Timeline for deadlines.

3. Tasks

Properties: Task, Project (relation), Assignee, Due date, Priority, Done (checkbox).

Views: "My tasks today", "This week", and a Board by Priority.

4. Content calendar

Properties: Title, Channel (Blog / LinkedIn / Instagram / Email / Pinterest / Video), Status (Idea / Drafting / Scheduled / Published), Publish date, Keyword, Link.

Views: Calendar by Publish date; Board by Status.

5. SOP wiki

Properties: Process name, Department (Sales / Delivery / Admin / Marketing), Owner, Last reviewed.

Each entry is a page with the steps written out, a short video or Scribe recording, and a checklist. This is what lets you take a week off. Learn how to write them fast in our SOP template guide.

Build your dashboard

On your HQ page, add "linked views" of each database so the most important things sit on one screen:

  • Today's tasks
  • Follow-ups due
  • Projects due this week
  • This week's content
  • Quick links: SOP wiki, brand assets, passwords manager (never store passwords in Notion itself)

How to use Notion AI in your business

Notion AI works inside your pages and databases. Useful jobs:

  1. Summarise meeting notes and pull out action items into the Tasks database.
  2. Draft SOPs from a rough list of steps.
  3. Ask questions across your workspace: "What did we agree with client about the deadline?"
  4. Fill database properties automatically, such as a one-line summary or category for each entry.
  5. Write first drafts of emails, proposals and content briefs in the content calendar.

FAQ

Is Notion good for small business?

Yes, especially for organising projects, tasks, content and internal knowledge in one place. Use dedicated tools for accounting, invoicing and email marketing.

Can Notion be used as a CRM?

Yes, for a small number of clients. A clients database with a status board and follow-up dates works well. For larger sales pipelines with automation, use a dedicated CRM.

Is Notion AI worth it?

If you write a lot of notes, documents and SOPs, it can save hours each month by summarising, drafting and answering questions across your workspace.

Is Notion free for business use?

Yes, the free plan can be used for business. Teams usually upgrade for more members, guests and history.

Is my data safe in Notion?

Notion uses standard security practices, but don't store passwords or highly sensitive customer data in it. Use a password manager for credentials.
